A recruitment portal that turns XML feeds into claimable leads

A portal serving employers, candidates and administrators — ingesting external XML job feeds, surfacing them as leads recruiters can claim, and handling the posting and application lifecycle in one place.

The problem

Recruitment work was being done manually and spread across several disconnected platforms. Job information lived in one place, candidate applications in another, and the recruiters' own pipeline somewhere else again.

The cost of that arrangement is not just duplicated effort. It's that nothing has a single state. A role that's been filled somewhere else is still being worked. A candidate who applied last week is contacted as though they hadn't. Leads get worked twice by two people, or not at all because each assumed the other had it.

What I built

A single portal covering all three sides of the process, with permissions separating what each type of user can see and do.

Three user roles. Employers posting roles, candidates applying, and administrators overseeing the whole system — each with their own views and permissions rather than one interface with things hidden.

XML feed ingestion. The system pulls external job feeds, parses them, and surfaces the contents on the portal as leads. This is the part that changes the economics: rather than recruiters hunting for opportunities across sources, opportunities arrive in the system already structured.

Lead claiming. A recruiter takes ownership of a lead, and it's then visibly theirs. This is a small mechanism that removes an entire category of problem — two people working the same opportunity, or an opportunity sitting untouched because ownership was ambiguous.

Posting lifecycle management, with roles moving through defined states rather than existing as free-form entries.

Application handling, including CV and document upload.

Search and filtering across postings and applications.

Notifications so state changes reach the person who needs to know rather than waiting to be discovered.

The result

The portal has been live since 2026, consolidating a process that previously ran across multiple platforms into one system with a single source of truth.

The XML ingestion is the piece worth drawing attention to. Automating the path from external feed to claimable lead means the volume of opportunities the team can work is no longer limited by how much time someone spends looking for them.
